Academic Policies

Codes of Acceptable Conduct

All students are subject to institutional policies and expectations regarding personal and academic conduct. The primary conduct codes are collectively referred to as the Codes of Acceptable Conduct.

Code of Behavior

"Students are expected to show respect for order, morality, personal honor, and the rights of others as is demanded of good citizens. Failure to do this will be sufficient cause for removal from EPGY courses."

Honor Code

"Students will neither give nor receive aid in any work that is utilized as a basis of grading."

Any violation of these policies will be grounds for expulsion.

Academic Performance

The EPGY courses are serious courses requiring hard work for success. In order to increase the chances that students will be successful, each course has established specific policies concerning communication with instructors and rates of minimal progress in the course. Students failing to adhere to these policies may face expulsion.

Parents should be aware that participation in EPGY courses is not suitable for all students. While instructors are trained to work with students and give them the support they need, if we feel that a student is not benefiting from his or her participation in EPGY courses, we may terminate the student's participation.

Course Assignments and Examinations

Each course has specific policies concerning assignments and examinations. Students and parents are encouraged to read the course policies for the courses in which they are enrolled. These policies are available from their student pages.

Grades

Grading policy varies by course group. Students are encouraged to look at the course policies document for a course, from their Student Pages on the EPGY Website, to find the particulars of the policy for that course.

Guidelines for Parent Involvement

Students in EPGY courses will benefit if their parents stay informed about their progress. For this purpose we provide access to student progress reports on our web site. Progress reports may be viewed from the student pages.

We recommend that parents provide students with encouragement and positive reinforcement. In cases where a student expresses persistent frustration with the program, we do not recommend forcing that student to continue. Please contact us to determine the best course of action.Students will not be successful if participation is not enjoyable or it becomes a burden.

Parents are encouraged to discuss student performance with their student's EPGY Instructor. Parents need to recognize that our staff has limitations on the amount of feedback that can be provided through parent-instructor conferences. Please refrain from requesting personalized evaluation of your child from instructors more than once per term.

Parents should recognize that our Instructors are trained professionals who should be treated with respect and courtesy. If a parent exhibits inappropriate behavior to an Instructor, or to any member of our staff, we may terminate their student's enrollment. In the event of such termination no refunds will be given.

Financial Policies

Tuition

EPGY courses, including those in the pre-university-level mathematics, computer science and physics sequences are billed on a per-quarter basis. This means that the tuition does not cover the costs of a course, but rather covers a three-month instructional period. If a student finishes a course mid-quarter, the student may continue in the following course at no additional tuition charge, although registration and shipping fees will be charged whenever a student begins a new course. Students who have not completed a course by the end of a quarter may pay tuition for an additional quarter, or an amount of time appropriate for the student to finish a course.

Course Registration Fees

Course registration fees are charged every time a student enrolls in a new course.

Shipping and Handling Fees

Shipping and handling fees are charged every time a student enrolls in a new course for which new software must be shipped.

To ensure timely delivery of any course related materials, we would like to ensure receipt of your registration and payment information by the 22nd of the month preceding your student’s start date. We will attempt to expedite delivery should we receive your materials after that date, but are unable to guarantee that it will reach you by the 1st.

Re-enrollment in Pay-per-quarter Courses

Students in pay-per-quarter courses whose registration will expire at the end of the current month will be mailed a "Re-enrollment Form," on which they may indicate if they would like to continue in the program and for how long. Students will have the option of continuing for one, two, or three more months, taking a leave of absence from the course, or withdrawing from the course. We may at our own discretion decide not to allow a student to re-enroll if he or she is making inadequate progress in the course or does not act in accordance with our Fundamental Standard. Tuition payments for reenrolling students are due by the date on which the student's registration expires.

Leaves of Absence

Students needing to take time off during the quarter should contact their instructor so that their Instructor will not expect the student to report. Students who will be gone for more than two weeks are encouraged to discuss alternative schedules with their instructor which will allow them to make up the work that they will be missing during the time that they will not be running the course.

Students who are planning to miss a large part of a quarter should plan their enrollment schedules accordingly. Students enrolled in per-quarter billed courses who must take extended absences during the term should contact us in advance of their absence to discuss the matter.

Enrollment and Final Examinations

Students must be registered for a course in order to take a final exam in that course. Students who are in pay-per-course courses must complete the final exam during the term of their enrollment.

Students in pay-per-quarter courses should indicate whether or not they plan to enroll in a subsequent class when they submit their final exam. Usually this involves completing a "Continuing Student Registration Form" and sending it in along with the required payment of the registration and shipping fees, if the student opts to continue. Students not planning on continuing with other EPGY courses after completing a course can request that the unused portion of their tuition be refunded as per the policy detailed below in the section on tuition credits.

Refund Policy

Refunds may be given in rare cases where due to circumstances beyond their control a student has not been able to start or progress in their course. A written request for a refund is required from the family and should be sent to EPGY no later than 21 days after the date of enrollment. Refunds may be given for tuition only. Refunds are not given for shipping, registration or other fees. CDs must be returned before a refund may be processed.

Tuition Adjustments

Families whose students are unable to run their courses for a period exceeding two weeks should notify their Instructor and the EPGY administrative staff immediately. When students are able to begin work again, they are responsible for notifying their Instructor and also EPGY Administration in writing by sending to epgy-payment@epgy.stanford.edu. Administration may assign a tuition credit to their account at a rate proportional to the amount of time they were away. Credit determinations can only be made if the student has been reporting regularly both before and after the period of inactivity in question.

Credits are not redeemable for cash or as a credit card refund but may be used for other EPGY courses. Credits are not transferable among students except for siblings. In order to progress successfully in a course students should plan no more than one absence in a three month period. Only one credit adjustment will be given within a three month period.

Financial Aid

We encourage all families in difficult or unusual financial situations to apply for financial aid. This includes having more than one student enrolled in EPGY courses. Financial aid will be given in the form of a tuition reduction. To request financial aid, please email or fax your completed application and all requested documents to the EPGY Administration team. While most financial aid grants are paid quarterly over the course of a year, one-time grants of aid may be applied for by victims of unforeseen circumstances.

Please note: At present, financial aid is not available for overseas students, or for students seeking to enroll in more than one course at a time.

Terms and Conditions of Registration in EPGY Courses

By registering for this course, the parents or legal guardians acknowledge and agree that Stanford University may transfer its instructional responsibility for this course and student as well as the responsibilities for any ongoing registration and administration of the enrollment in the course to any third party agreeing with Stanford to offer the courses in a substantively similar manner.

 

STANFORD UNIVERSITY, ITS SUBCONTRACTORS AND ITS ASSIGNEES WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, EXEMPLARY, PUNITIVE OR CONSEQUENTIAL DAMAGES OR LOSSES, RELATED TO THE EPGY COURSES EVEN IF THEY HAVE BEEN ADVISED OF SAID POTENTIAL LOSSES. FURTHERMORE, THE SERVICES ARE PROVIDED ON AN "AS IS" BASIS AND WITHOUT ANY EXPRESS OR IMPLIED WARRANTY, INCLUDING BUT NOT LIMITED TO WARRANTIES OF FITNESS FOR A PARTICULAR PURPOSE. NOTWITHSTANDING THE FOREGOING, TOTAL LIABILITY SHALL BE LIMITED TO THE FEES PAID FOR THE SEMESTER PRIOR TO THE CLAIM.
